1. Who controls your data
We store and process personal data about you to serve you as well as possible. When you visit our website or booking page, buy a gift card, book an experience, sign up for our newsletter or a waiting list, and similar. To Øl City, Ringstedvej 13, 4520 Svinninge, CVR 33882254, is the data controller for this processing. This policy covers the toolbeer.understory.io booking flow.
2. What we collect and why
When you book an experience, we collect your name, address, email address and phone number, to deliver your ticket, reach you if something changes with your booking, and send any gift cards. When you pay, we also collect payment/financial information and your IP address, only to process the transaction.
If an experience asks about dietary requirements or allergies, that's a special category of data under GDPR Article 9. We only use it to plan your tasting safely, and only collect it with your explicit consent at booking.
3. Who we share your data with
We handle your data internally through our booking system and other systems used to run our business — used to manage your booking, answer questions and provide customer care.
- Understory: Our booking and payment platform, acting as data processor for booking and payment data.
- Klaviyo: E-mail marketing, only for guests who've opted in (e.g. via the newsletter sign-up on the tour page).
We don't sell your data, and don't share it beyond what's needed to deliver your booking.
4. How long we keep your data, and your rights
We only keep your personal data for as long as necessary and legally permitted. We delete most personal data (phone number, any dietary notes) 30 days after your experience. Name, address and transaction details are kept for 5 years, as required by the Danish Bookkeeping Act. We protect your data against unauthorised access, loss, destruction or disclosure using appropriate technical and organisational measures.
Data we need to fulfill your booking is processed without separate consent. For anything else, like our newsletter, we only use your data with your explicit consent, which you can withdraw at any time by emailing us.
You can ask to access, correct or delete your data, and object to how we use it. Contact events@toolbeer.dk to exercise these rights or fix incorrect details.
5. Cookies and site statistics
When you visit our booking site, we collect information sent from your device. Things like device ID, IP address, device/browser type, time spent on the site, approximate location and how you use the site. This is collected via cookies and tracking URLs, and is anonymised.

We also use aggregated log statistics; visitor numbers, origin and on-site behaviour, to improve the site.
